The role is designed to provide essential administrative and operational support within designated business areas, helping to maintain efficiency, accuracy, and adherence to internal procedures. The position acts as a reliable team contributor, supporting partners and fee earners in their daily activities through attention to detail, system and company tools use, and clear communication. A person in this role supports business development initiatives, financial processes, and practice-specific tasks, while encouraging learning and collaboration. The role also supports team development by participating in training sessions, sharing knowledge, and contributing to local initiatives. An Evening Assistant is supporting the team after standard working hours, providing continuity of work after the daytime assistants' working hours to maintain workflow efficiency.
Main duties and responsibilities
Daily support
- Provide administrative support and ensure smooth daily operations
- Collaborate with lawyers and internal teams, maintaining clear communication
- Follow processes and deliver tasks accurately and on time
- Support BD and finance activities (data updates, basic offer preparation)
- Ensure high-quality document handling
- Independently manage evening tasks and handover from the daytime team
Work organization
- Work independently with ongoing collaboration within the assistant team
- Manage inbox, prioritize tasks, and track deadlines
Working with documents
- Prepare and format complex documents
- Ensure accuracy, quality, and proper archiving
- Support transactions and document coordination
- Use Excel (basic formulas, filters)
Correspondence administration
- Manage incoming and outgoing mail and courier services
- Follow internal procedures and cooperate with support teams
System operation
- Use internal systems (e.g., InterAction, iManage, SNAP)
- Support matter opening, reporting, and document processes
Meeting organization
- Organize meetings and coordinate logistics (rooms, catering, IT)
Cooperation with subcontractors
- Arrange travel, work with vendors, and manage related admin tasks
- Coordinate translations and expenses
Activities in the Business Development (BD) area
- Maintain client data and support marketing initiatives
- Assist in preparing offers and contact lists
Invoicing process
- Support invoice preparation and cooperate with finance
Other commissioned tasks
- Handle administrative applications and ad hoc requests
Tasks resulting from the specifics of practices (selected key examples)
- Provide administrative support in practice-specific matters, including documentation, applications, and contact with external institutions
- Assist with property-related tasks and preparation of supporting documents

- Participate in training and take initiative in skill development
An Evening Assistant Provides general administrative and assistant support within the evening team. Possesses the skills and knowledge required to efficiently carry out standard tasks. Demonstrates proactivity, independence, and effectiveness. Navigates company systems and tools with ease and is familiar with relevant policies and procedure
About you
Education and Experience
- Proficiency in Polish, both spoken and written, at C2 level
- Proficiency in English, both spoken and written, at B2 level or higher
- Proven experience in the administrative role (minimum 1 year of experience) will be an advantage
- Practice in a corporate and international environment will be an advantage
Technical skills
- Confident use of Microsoft Office, particularly Word, PowerPoint, and Outlook, including formatting, presentation design, and efficient email and calendar management
- Ability to handle documents with care, including saving, naming, and organizing files during routine tasks and projects, with attention to accuracy
- Familiarity with internal systems and tools, using them to complete assigned tasks and report issues when needed

- Demonstrates a strong capacity for rapid learning and assimilation of complex information in dynamic work environments
- Strong communication and organizational skills, with the ability to prioritize tasks and manage time effectively
