
This role supports our UK trademark prosecution practice, working closely with colleagues across the UK and internationally. It plays a key part in delivering high-quality legal services to our clients by ensuring the smooth and efficient handling of trademark matters. as well as the day-to-day management of the UK trademark prosecution paralegal team. The position is integral to maintaining our reputation for excellence, precision, and client-focused service.
Main duties and responsibilities
- Lead the successful delivery of trademark prosecution processes, ensuring accuracy, timeliness, and alignment with client expectations and registry requirements.
- Deliver to a high standard the preparation and execution of various registry forms (such as notices of opposition, assignment and renewals) and client reporting emails, and ensure that records are updated efficiently and effectively
- Manage and develop a team of three specialists, fostering a collaborative environment that supports high performance and continuous improvement in service delivery.
- Engage proactively with clients, ensuring they are fully supported through clear guidance, timely updates, and access to user-friendly resources that enhance their experience with our trademark services.
- Continuously review and refine internal processes and systems to ensure they remain efficient, scalable, and aligned with best practices in trademark portfolio management.
- Drive practice development by contributing to the evolution of procedures, tools, and materials that enhance both client service and internal operations.
- Champion operational excellence by maintaining high standards in docketing, diary management, billing, and data integrity across trademark systems.
- Ensure compliance and risk management through diligent handling of conflict checks, client onboarding, and due diligence processes.
About you
- Demonstrates the ability to manage multiple priorities and deadlines in a fast-paced, high-volume environment, maintaining accuracy and composure under pressure.
- Builds strong, trusted relationships with colleagues and clients through clear communication, responsiveness, and a collaborative approach.
- Brings significant experience managing trademark formalities within a complex, matrixed organisation, ideally across multiple jurisdictions, and demonstrates strong leadership in managing and developing team members to ensure operational excellence
- Possesses prior experience in trademark work gained from a trademark attorney firm, or law firm, with a clear commitment to developing a long-term career as a trademark paralegal.
- Holds a CITMA Paralegal qualification or demonstrates equivalent knowledge and experience; qualification is preferred but not essential.
- Has in-depth knowledge of UKIPO, EUIPO, and WIPO trademark procedures, with a working understanding of design formalities as an advantage.
- Applies a proactive, detail-oriented approach to trademark portfolio management, with a strong appreciation for effective deadline tracking and risk mitigation.
- Communicates with clarity and precision, producing high-quality written work with excellent grammar and attention to tone and audience.
- Demonstrates strong IT literacy, including the ability to work confidently with trademark portfolio management systems, financial tools, and document creation platforms.
- Shows initiative in contributing to practice development, embracing change, and exploring new technologies to enhance service delivery.
- Maintains a flexible, solutions-focused mindset, adapting to evolving client needs and internal priorities with professionalism and enthusiasm.
