The assistant teams provide support within hubs, where team members share their work. Hubs also offer the opportunity to develop a broader range of skills to follow a specific career path, establish contacts, and share knowledge. This was not possible in the traditional model. Leaders participate in the process of defining directions for change, setting priorities, and identifying new, better ways for teams to function.

Main duties and responsibilities

  • Supporting daily administrative tasks and ensuring smooth cooperation with lawyers and the team.
  • Maintaining clear communication and fostering a collaborative team environment.
  • Delivering tasks in line with procedures and using available systems.Cooperating with support functions (e.g. MBD) in data updates and offer preparation.
  • Participating in trainings and onboarding new team members.

Work organization

  • Independently managing tasks and priorities (team inbox).
  • Ensuring timely completion and reporting of assigned work.

Working with documents 

  • Preparing and formatting documents, including more complex materials.
  • Supporting projects and transactions involving multiple documents.
  • Archiving documentation and ensuring accuracy and quality.
  • Working with Excel at an intermediate level.

System operation

  • Handling correspondence, shipments, and courier coordination.
  • Working with internal systems (e.g. InterAction, iManage).

Meeting organization

  • Coordinating meetings (rooms, catering, IT support).
  • Organizing business travel and handling related arrangements.

Activities in the Business Development (BD) area

  • Updating databases and supporting marketing initiatives and events.
  • Active participation in the bidding process using internal platforms, databases, and PowerPoint.

Other commissioned tasks 

  • Supporting ad hoc tasks and projects.
  • Demonstrating initiative and continuous improvement of skills and processes.

Assistant provides general assistance and administrative services within the team. Possesses competencies and knowledge that allow for independent execution of tasks. Characterized by proactivity, independence and efficiency. Efficiently manages tools and systems necessary for task completion according to DLA Piper policies.

About you

Education and Experience

  • University degree (preferred: administration, management, English Philology and similar).
  • Proficiency in Polish, both spoken and written, at C2 level.
  • Proficiency in English, both spoken and written, at B2 level or higher.
  • Demonstrates proven experience in an administrative role (minimum 1 year of experience).
  • Practice in a corporate and international environment will be an advantage.

Technical skills 

  • Confident use of Microsoft Office, particularly Word, PowerPoint, and Outlook, including formatting, presentation design, and efficient email and calendar management.
  • Ability to handle documents with care, including saving, naming, and organizing files during routine tasks and projects, with attention to accuracy.
  • Familiarity with internal systems and tools, using them to complete assigned tasks and report issues when needed.

Soft skills

  • Strong communication and organizational skills, with the ability to prioritize tasks and manage time effectively.
  • Proactive and flexible approach to work, demonstrating attention to detail and a willingness to improve processes.
  • Ability to stay focused and productive under time pressure, maintaining quality and professionalism.
  • Positive attitude and commitment to delivering reliable and timely support.
  • Good problem-solving skills, using available resources and prior experience to resolve issues, with readiness to seek guidance when needed.
  • Willingness to learn and develop professionally, including openness to feedback and participation in training initiatives.
  • Understanding team collaboration, with the ability to support colleagues and contribute to shared goals.
  • Ability to organize their own work, manage multiple tasks, and maintain structure in a dynamic environment.
  • Responsibility for assigned tasks, ensuring follow-through and accountability.
