The role is designed to deliver high-level administrative and operational support across multiple business areas, ensuring efficiency, accuracy, and compliance with internal procedures. The position serves as a trusted advisor and coordinator, adding value through critical thinking, system expertise, and stakeholder engagement. A person in this role supports business development initiatives, financial processes, and practice-specific tasks, while fostering continuous improvement and knowledge sharing. The role also contributes to team development through training, innovation, and active participation in firm-wide initiatives.

Main duties and responsibilities

Daily support

  • High-quality admin & operational support to lawyers
  • Proactive approach, managing expectations & relationships
  • Cooperation with MBD and Finance (data, offers, compliance)
  • Knowledge sharing and mentoring junior team members

Work organization

  • Independent task management aligned with priorities
  • Inbox coordination and proactive planning
  • Communication on deadlines and progress
  • Identifying improvements and optimizing processes

Working with documents 

  • Advanced document formatting (Word expert)
  • Support in transactions and complex projectsDocument archiving and compliance
  • Efficient handling of print/scan tasks
  • Excel support (tables, basic formulas, formatting)

System operation

  • Advanced use of internal systems
  • Supporting and training others
  • Proactive troubleshooting and improvements

Meeting organization

  • Organizing meetings and logistics (rooms, catering, IT)
  • Coordinating with reception and vendors
  • Managing business travel (flights, hotels, visas, expenses)

 

Activities in the Business Development (BD) area

  • Maintaining client data (InterAction)
  • Supporting events and invitations
  • Assisting with proposals and pitches
  • Cooperation with lawyers and marketing

Invoicing process

  • Preparing invoices, WIP checks, corrections
  • Cooperation with Finance team
  • Handling basic payments and fees

Other commissioned tasks

  • Ad hoc projects and practice-specific support
  • Contact with public institutions (if needed)
  • Preparing applications and tracking deadlines

About you

Education and Experience

  • University degree (preferred: administration, management, English Philology and similar)
  • Proficiency in Polish, both spoken and written, at C2 level
  • Proficiency in English, both spoken and written, at B2 level or higher
  • Demonstrates proven experience in a Assistant role (minimum 3 years of experience), with a track record of delivering high-quality support in a dynamic, multi-stakeholder environment
  • Practice in a corporate and international environment (preferred: law firm) will be an advantage

 

Technical skills 

  • Advanced proficiency in Microsoft Office, particularly Word, PowerPoint, and Outlook, including complex formatting, professional presentation design, and efficient email and calendar management
  • Expert-level document handling, with the ability to manage, format, archive, and coordinate multiple documents during transactions and high-volume projects, ensuring accuracy and compliance
  • System fluency, demonstrating deep understanding and independent use of internal platforms and tools, with the ability to advise others and troubleshoot issues proactively

 

Soft skills

  • Excellent communication and organizational abilities, with a clear capacity to prioritize tasks effectively
  • A proactive, flexible, and meticulous approach to work, showing initiative and a drive for continuous improvement
  • Ability to remain composed and productive under time pressure
  • A positive attitude and strong commitment to delivering high quality support
  • Excellent problem-solving using prior knowledge and experience, with the ability to make independent decision when needed
  • Willingness to learn and grow professionally, including openness to feedback and participation in development initiatives
  • Very good understanding of team dynamics and experience in mentoring or training junior colleagues
  • Strong ability to organize own work effectively, manage multiple priorities, and maintain structure in a dynamic environment
  • Readiness to take ownership of assigned tasks and responsibilities, ensuring accountability and reliability in daily operations
  • Strong collaboration skills and a genuine willingness to work as a part of a team, contributing to shared goals and supporting colleagues
