At DLA Piper, our secretaries provide a range of legal administrative services to practice teams across our International offices.

We have a unique approach to our legal secretarial function that allows us to stretch and develop your skills ensuring you are given interesting work at an appropriate level whilst making sure you are not over-burdened. You still have contact with clients and partners, but you will collaborate and work with a wider range of people in the department than in a traditional secretarial model.

Role Purpose

We are seeking a proactive and organized secretary to join our dynamic Seoul office today!

In this role, you will provide essential administrative support to our lawyers and their teams, ensuring the smooth execution of legal tasks. You’ll also collaborate with a group of dedicated professionals to keep daily office operations running seamlessly. Key Areas of Responsibility

Administrative Support

  • Execution of meetings through timely booking of rooms, arranging catering and technical support, and managing attendee communications
  • Coordinate meeting logistics, ensuring agendas and supporting documents are prepared and distributed on time
  • Handle internal and external calls professionally, addressing queries and taking clear, accurate messages
  • Arrange conference calls and assist with client functions
  • Arrange complex travel, including booking flights, hotels, transfers, and coordinating visas, while providing detailed itineraries
  • Prepare, draft, and edit documents in accordance with the firm’s style guide.
  • Handle photocopying, scanning, and faxing tasks
  • Prepare monthly expense reports
  • Managing group and fee earner contacts, maintaining up-to-date client records including in SNAP, Outlook and Interaction (CRM tool)

Matter & Billing Management

  • Deliver high-level secretarial and administrative assistance to partners and fee earners
  • Open and maintain client matters, in compliance with firm's policies
  • Perform conflict searches accurately
  • Prepare billing reports and draft invoices in a timely manner
  • Coordinate with fee earners to ensure billing accuracy
  • Process invoices and reimbursements promptly
  • Assist in conflict searches and audit requests
  • Assist in all finance-related tasks, including matter opening and closure, billing preparation, invoice management, expense processing, and time recording for fee earners as required
  • Generate financial reports, track outstanding billings, and maintain up-to-date client financial records

Market & Business Development Events

  • Assist with the planning and logistics for client functions, events, entertainment and seminars, as required
  • Support the Marketing & Business Development team in coordinating local sponsorships and related activities

Reception and Office Management

  • Welcome visitors and manage reception duties, including guest logistics
  • Maintain office supply inventory and place orders promptly
  • Collect and organize incoming mail and newspapers each day

IT & General Support

  • Partner with Regional IT teams to provide basic IT troubleshooting locally
  • Assist with escalation of complex IT issues to relevant teams for resolutions
  • Perform other secretarial duties as required

Skills and Experience

  • At least 2+ years of secretarial experience, preferrable in the professional services industry or in an international corporate environment
  • An excellent communicator in Korean and English, both spoken and written
  • Proficiency in Microsoft Outlook, Word, PowerPoint and Excel
  • Proactive, self-motivated, and professional with a friendly demeanor
  • Conscientious, detail-oriented, and eager to learn and grow
  • Strong team player who collaborates effectively and works independently with minimal supervision
  • Builds rapport and maintains positive professional relationships internally and externally
  • Resilient, resourceful, and able to perform well under pressure
  • Exercises sound judgment in problem-solving and decision-making
  • Handles confidential information with discretion
  • Flexible and adaptable to changing business needs
