The role

The Dublin office opened in 2019 and has grown rapidly over the past five years. 

This is a newly introduced role that will support the Head of Operations and Business Services leads including Operations, Property & Workplace, HR, Marketing & Business Development and Finance by providing a comprehensive, high-quality administrative service across our core Business Services functions.

The successful candidate will provide a client focused service, which is aligned to the firms strategic goals. The Business Services teams work closely with our international Communities of Expertise (COE’s) and our Shared Service Centre, to deliver an exceptional operations service to our internal clients.
 

MAIN DUTIES AND RESPONSIBILITIES 
 

  • A key part of this role will be to provide high quality administrative support to the Head of Operations and Business Services leads, including but not limited to diary management, scheduling meetings, scheduling interviews, drafting meeting agendas, making travel arrangements, completion of process initiation forms, letter creation, ad hoc report generation and slide deck preparation. 
  • Processing of supplier invoices and expenses for the Business Services functions, liaising with the relevant internal teams. 
  • First point of contact for routine queries and triaging enquiries to the appropriate person or relevant team.
  • Supporting the local and internal international teams with office visitors, secondments, guest speakers and external vendors.  
  • Involvement in ad hoc local and international projects.
  • Assisting with planning and organising events, staff training, and employee engagement activities.
  • Providing admin assistance to various internal committees (CSR, H&W, D&I etc).

 

ABOUT YOU
 

  • Excellent organisational skills including a high level of attention to detail to ensure high standards are adhered to.
  • Pro-active with the ability to manage competing priorities in a fast-paced environment, taking ownership of tasks with a solution focused approach.
  • Good communication skills both written and verbally.
  • High proficiency in Microsoft Word, Excel, Outlook and PowerPoint
